How are invoices sent?
Our current system does not allow us to send invoices automatically by email; therefore, most invoices are sent by regular mail. There are a few invoices that can and will be sent by email. Below is a breakdown.
First and foremost, invoices are always sent to the billing contact, whether by mail or email. It is important to ensure this information is always up to date and that login information is shared with your accounts payable department or responsible individual.
The annual Accreditation Invoice (AAP) and the annual Proficiency Sample invoice (PSP) are mailed directly to the billing contact on the account. Annual Accreditation invoices are mailed in April of each year, and Proficiency Sample invoices are mailed in September of each year.
Invoices that are not sent annually are emailed at the time the service is requested or shortly after the service has taken place.
Do you charge late fees?
At this time, we do not charge late fees.
What type of payments do you accept?
We accept ACH/Wire Transfer, checks, and credit cards.
Do you accept Purchase Orders?
We do accept purchase orders; however, an invoice is not considered paid until payment is received.
To avoid delays or account issues, all purchase orders must be submitted before the invoice is issued. Purchase orders can be submitted to payments@aashtoresource.org. Please include the applicable account number with your submission.
ACH/Wire Transfers
How do I obtain the bank information to make an ACH or Wire Transfer payment?
If you would like to pay by ACH or Wire Transfer, please contact us at payments@aashtoresource.org, and we will send the information promptly.
Does AASHTO charge fees for receiving wire transfers?
AASHTO does not charge any fees to receive wire transfers. However, wire transfer fees may be assessed by the sending bank and/or intermediary banks involved in the transaction.
It is the sender’s responsibility to confirm these fees in advance and ensure that AASHTO re:source receives the full invoice amount. If an invoice is not paid in full due to wire transfer fees, services will not be provided until the remaining balance is received.
Are remittance advices required?
Remittance advices are not required; however, we kindly request that you provide them.
Remittance advices can be sent to payments@aashtoresource.org and should include the invoice number(s) associated with the payment. Without this information, we may be unable to match the payment to an invoice.
We are not responsible for delays in services or participation due to payments that cannot be identified.
Checks

Please include the invoice number(s) with your remittance for faster processing.
Please do not overnight or send payment signature required.
What happens if I sent the check to AASHTO instead of AASHTO re:source?
Payments sent to AASHTO instead of AASHTO re:source take longer to process due to separate customer databases.
If the check has been cashed, please email a copy of the back of the cashed check to payments@aashtoresource.org. This information helps us locate and apply the payment.
If the check has not been cashed, you may allow additional time for processing or stop payment and reissue the check.
Responsibility for timely payment remains with the payer. We are not liable for checks lost in the mail or any resulting impacts due to unpaid invoices.
I sent the check a few weeks ago and it has not been cashed yet; have you received my payment?
Payments sent to the PO Box are received directly by our bank and deposited immediately upon receipt. We receive a payment report the following business day.
If the check has not been cashed, you may allow more time for processing or stop payment and reissue.
Responsibility for timely payment remains with the payer. We are not liable for checks lost in the mail or any resulting impacts due to unpaid invoices.
Credit Card
How can I make a payment online?
You can make a payment online by logging into your account and selecting “View Invoices” from the left-hand menu. Click the green “Pay” button next to the invoice you wish to pay.
If you do not have login information but have a copy of the invoice, visit the payment portal and use the “Search for an Invoice” option. Enter the Account Number and Invoice Number shown on your invoice.
Please note that if you are already logged into your account, you will not be able to log into the payment portal separately.
Is it safe to make a payment through the AASHTO re:source Payment Portal?
Yes. Credit card transactions are secured using HTTPS protocol, and the payment portal uses a high-level security certificate to encrypt all transaction information.
Can I pay more than one invoice in a transaction?
At this time, the system allows only one invoice per transaction.
Will I be charged any billing or payment fees?
No. There are no fees to pay your invoice online or over the phone.
How soon will the payment be reflected on our account?
Payments made online are reflected immediately.
I received an error message “Enhanced AVS Handling Filter” and my payment was declined. What should I do?
Verify that you are using the correct billing address associated with your credit card and try again.
If the issue persists, please contact us at 240-436-4900, and we can attempt to process the payment over the phone.
Will I receive a receipt or confirmation number for my payment?
Yes. Receipts are sent to the email address provided during the transaction. Please check your spam folder if you do not see it.
I did not receive my receipt via email. How can I obtain a copy?
Please contact us at 240-436-4900 or email payments@aashtoresource.org.
When emailing, please include the invoice number associated with your payment so we can send a copy promptly.
